Before, during and after care

Most healthcare software begins when someone opens a chart.

Paloma connects the work that happens before, during and after care.

Before a visit
  • Understand the agency’s requirements
  • Receive the referral
  • Establish the governing order
  • Find a qualified clinician
During care
  • Accurate documentation
  • Scheduling
  • Clinical oversight
After care
  • Billing
  • Payment tracking
  • Quality management
  • Survey evidence

Paloma keeps those responsibilities together, so the agency isn’t managing them as unrelated pieces of work.

Why Paloma Is Different: Clinical Operations, Staffing, Billing and Survey Readiness

An agency owner needs one reliable platform: clinical work and notes done well, billing that is seamless across the ways the agency is paid, reporting ready when anyone asks, and a system that keeps the agency within what regulators expect.

QAPI, survey tools and compliance paths are built in, and Paloma applies the guidance and controls your agency’s services, licences, locations and obligations call for. The same platform serves a lightly regulated private-duty or concierge practice and a licensed, surveyed agency preparing for accreditation. Need something you don’t see here? Tell us what your agency needs.

Connected evidence & operations

Five connected strengths. One coordinated operation.

Paloma Clinical, Paloma Talent and the Compendium are separate systems, each authoritative for its own work. Paloma connects them so the operation moves in order, from the referral to the evidence a surveyor reads.

Paloma Clinical

Runs the agency: referrals, orders, scheduling, nurse charting, DON review, billing and survey readiness.

How Paloma Clinical works →

Paloma Talent

Finds clinicians and staff for agencies and employers, including employers who do not use Clinical. On its own it has no monthly fee.

How Paloma Talent works →

Each is complete on its own, and each makes the other stronger. Find Staff, opened from a referral, chart or schedule, ranks your own staff by eligibility, then availability, skills and distance. It then searches Talent applicants without sending the patient’s identity.

A staffing story

A referral in a city where you have no nurse.

You receive a referral for an infusion patient in a city where you have no nurse. Instead of turning the case down or searching manually, Paloma searches your own eligible clinicians first, then the Paloma Talent network, based on the patient’s location and care requirements. The patient’s identity is not sent to Talent. Your agency evaluates and credentials the clinician, schedules the authorized visit, documents the care and invoices the pharmacy, all in Paloma: the hire and the clearance happen in Paloma Clinical.

Paloma Talent also serves employers independently, with or without Paloma Clinical.

One referral, start to finish

Run the care. Find the people. Connect everything.

  1. A referral arrives. Paloma reads the document and proposes the patient, order and pharmacy, and accepting the referral remains your intake team’s decision.
  2. No nurse nearby? Find Staff searches your roster, then Paloma Talent.
  3. The person you recruit is hired in Clinical. Their file collects licence, credentials and competencies, the DON approves, and they are cleared for the visit.
  4. The nurse charts the visit on the phone in structured infusion fields.
  5. The DON approves it, approves it with a documented exception, or returns it.
  6. The note goes to the pharmacy in its own form, and the invoice is built from the reviewed visit.
  7. Every step leaves evidence a surveyor can read.
Built to evolve

Your agency grows. Paloma grows with you.

One foundation. Many healthcare service lines. The same operational discipline.

Built on a foundation that extends beyond home infusion.

Paloma is a reusable healthcare operations foundation, proven in home infusion, where our deepest pathways are today. We began with home infusion; we didn’t build a platform that ends there. Paloma was built around the foundational requirements of healthcare operations, not around one specialty, and we developed and refined that foundation through home infusion: clinical documentation, staffing, credentialing, billing, quality management, regulatory guidance and operational accountability.

Each new service line inherits the relevant shared infrastructure and receives the workflows, clinical requirements, financial processes and regulatory controls specific to it, without rebuilding the platform. We complete and validate one service line before extending to the next, with the same diligence. The status of each service line below is read from Paloma’s capabilities inventory.

Readiness and research

Evidence built every day. Guidance that shows its source.

Readiness

Tools, evidence and readiness support for state surveys and accreditation reviews (such as CHAP, ACHC or Joint Commission).

  • Survey Binder and Survey Simulator
  • Time-limited surveyor access, every view recorded
  • Survey history, citations, plans of correction
  • Obligation ledger with coverage and owners
  • Policies with acknowledgments; documents with expiry alerts
  • QAPI, incidents with DON review, emergency preparedness

Research

The Paloma Health Technologies Compendium is an independent research resource: a 50-state and DC regulatory atlas. Its versioned, source-backed findings inform guidance in Paloma Clinical.

When you schedule, Paloma flags a nurse’s licence coverage, including NLC multistate licences, and a patient served in a state where your agency has no recorded licence. Guidance informs and never blocks care. It is not legal advice.

The Compendium’s 50-state atlas →

A readiness story

Daily work becomes survey evidence.

Readiness is built from the work the agency already does, not assembled the week before a survey. Reviewed notes, cleared clinician files, incidents with DON review, acknowledged policies and documents with their expiry dates are already on file. The Survey Binder assembles that evidence, the Survey Simulator rehearses a survey before it happens, the obligation ledger shows each open obligation with its owner, and QAPI keeps the agency’s improvement work in the same place. When the surveyor arrives, they get time-limited access and every view is recorded. Survey tools are limited to authorized administrative roles.

How the survey tools work →

A research story

An Oklahoma branch, a patient in Texas.

In the demo agency, an office in Oklahoma serves a patient who lives in Texas. Paloma reads the agency’s recorded licences and authorizations against the versioned, source-backed state policy drawn from the Compendium. Where no Texas authorization is recorded, the agency sees an advisory that names the policy’s source and its verification status, and each completed visit records the policy version that applied. The advisory informs the agency’s decision; it never blocks care, and it is not legal advice.

How state-aware guidance works →

Growth

Offices and branches across states, licences per state and per office, and every visit records its office, entity and authorizations. Staff access can be scoped to their office, and owner groups see counts, never patient records. How multi-location operations work

Engineered to be trusted

Evidence preservation

The source document stays attached to what was read from it, and corrections keep the original.

Clinical authority

The current order governs the visit. Before a note can be approved, Paloma checks it against the governing order and the agency’s requirements and names what is missing.

Human review

The DON returns a note to the nurse rather than rewriting it. Referral acceptance remains an explicit staff decision, while Paloma may extract and structure information from source documents as part of intake.

Audit trails

Changes record who made them and when, and who opened a patient’s record is recorded too.

Scoped permissions

Staff see what their role allows, and an administrator can limit office staff to their offices.

Automation safeguards

Before an assignment, Paloma checks the nurse’s licence, required credentials, competencies and clearance from what is on file, and refuses or warns on an assignment that check does not allow. Payroll holds a visit that cannot be paid confidently, with its reason.

Versioned regulatory knowledge

Each state policy carries a version and its source, and each visit records which version applied.

Your data stays yours

Paloma takes a verified snapshot of your agency’s records every night, and an administrator can take one at any time and download it.

Built by an operator

Built by Nick, RN, BSN, a registered nurse who has run an agency, around the records a surveyor, a pharmacy and a payer will ask to see.
