Capabilities

Everything Paloma does, in one list.

Paloma Clinical is healthcare operations software built first for home infusion nursing agencies, and used for home health, infusion suites, specialty pharmacy nursing, private duty nursing and VA Community Care. Paloma Talent finds and vets the clinicians who deliver that care. To see the screens, take the Product Tour; this page lists what Paloma does and what is live today.

53 capabilities in 11 groups, every one in Paloma today except the one marked Coming next. Verified on 2026-10-16 against Paloma’s own product records.

Referrals and orders

From the referral packet to the order that governs each visit.

Paloma takes a pharmacy or physician referral as it arrives, by upload or email, and keeps the original document with the patient record it creates.

For intake staff and the DON: the source of every order is one click away when a pharmacy or a surveyor asks.

AI reads the referral packet and pulls out the patient, the drug, dose, route and frequency, and the prescriber, so intake staff work from a structured referral instead of re-keying it.

For intake staff: a packet becomes a structured referral in minutes instead of being re-keyed.

Paloma recognises a referral, document or patient it has already received and stops a second copy from becoming a second record, with a merge path for the ones that still get through.

For the office: one patient, one chart, even when the same packet arrives twice.

Every order, visit, note, document, communication and invoice for a patient lives on one chart, with allergies and code status always in view.

For everyone: one place to look, and the chart says plainly when nothing is open.

Payer and pharmacy authorizations are recorded with their visit allowance and period, and the agency can see how much of each has been used.

For the owner-biller: know where an authorization stands before scheduling more visits against it.

Nursing documentation

What the nurse does on the phone, at the bedside.

The visit note covers patient verification, assessment and vital signs, vascular access, pre-medications, the primary medication with its time in and time out, the patient’s response, education, supplies and signatures.

For the DON: every infusion note answers the same questions in the same order.

When the DON returns a note, the nurse sees it under Notes due with Continue Correction, and the correction preserves the earlier version instead of overwriting it.

For the nurse: what needs fixing is named; nothing is retyped from scratch.

Clinical oversight and review

The Director of Nursing’s view of every note.

Every submitted note goes to a Director of Nursing review queue where it is approved, approved with a documented exception, or returned to the nurse.

For the DON: one queue for every nurse’s work, with what needs a signature, what is incomplete and what is cleared to bill.

Before a note can be approved, Paloma checks it against the governing order and the agency’s requirements and names what is missing; a note that needs review cannot be approved as if it did not.

For the DON: the review starts from the findings, not from page one.

A signed note is frozen as a document; a later rendering or correction creates a new version and keeps the earlier one, with who did it and why.

For the DON and the surveyor: the note the pharmacy received is the note on file.

Incidents are reported through a form, printed as a PDF on the agency’s own clock, and kept with the compliance record.

For the DON: the report exists the day it happened.

Workforce readiness and credentials

Who can be sent, and why.

Scheduling

Visits planned against current orders and ready staff.

Scheduling refuses or warns on an assignment the readiness check does not allow, a duplicate visit, a visit too early for its order, or a same-day conflict, and names the existing visit.

For the coordinator: the conflict is shown before the nurse drives there.

Pharmacy coordination

The pharmacy relationship as the spine of the operation.

A pharmacy’s own staff sign in to read reviewed nursing notes, the orders awaiting the pharmacy and supply requests with their delivery state, and open the PDFs, with access by role.

For the pharmacy: the note is there when the visit is reviewed, without a phone call.

Pharmacists and case managers read; billing contacts keep billing-specific access. Sending orders and messaging through the portal are coming next.

Each pharmacy’s documentation requirements are kept on its record, and the nurse’s note returns to that pharmacy as the form it requires.

For the nurse: one note; Paloma produces the pharmacy’s form.

A supply request is built from what nurses charted, filed in the patient’s chart as a PDF, and sent to the pharmacy by the route that pharmacy has configured.

For the pharmacy: a request it can act on, with the chart document behind it.

Fax delivery is coming next.

Every invoice and statement sent to a pharmacy is tracked with how it was sent, when, to whom and what was confirmed, with the pharmacy’s deadlines beside it.

For the biller: the answer to “did they get it?” is on the record.

A patient is placed on hold or discharged through a status workflow, and every communication with the pharmacy, physician or family is recorded on the chart with its follow-up date.

For the coordinator: the hold, the reason and the follow-up are on the chart, not in a text thread.

Billing and revenue

From reviewed care to a reconciled payment.

A reviewed visit is priced from the governing contract, including visit duration, additional time and mileage where the contract provides for them, and becomes a pharmacy invoice line.

For the biller: no invoice typed from a stack of notes.

If invoices are factored, statements carry the factor’s remit-to details, the factor’s copy is recorded, and factored receivables are never counted as the agency’s own.

For the owner: what the pharmacy was told to pay and what you booked never drift apart.

An issued invoice is frozen as a PDF; a reissue creates a new version with a reason and keeps the earlier one, with submission evidence and payments beside it.

For the biller: the invoice the pharmacy holds is the one on file.

Pay periods are built from completed visits with wages and mileage per visit; a visit that cannot be paid confidently is held with its reason, and every payment run is recorded with its reference.

For the owner and the nurse: the same numbers on the payroll screen and on the nurse’s phone.

A UB-04 worksheet for billing staff that names the source of every value and says what is not on file.

For the biller: the claim form starts from the record, not from a blank page.

Electronic payer submission is coming next.

Compliance and survey readiness

Evidence produced by the daily work, not assembled the week before.

A surveyor is invited by letter to their own access to the agency’s records, and what they open is recorded in the audit trail.

For the owner: the surveyor reads the record, not a binder you built the night before.

Survey evidence is assembled into a binder, open obligations are owned by a person, and a survey can be rehearsed before it happens, for authorized administrative roles.

For the owner: survey readiness built every working day.

Reporting

The business as it is, from the records the nurses chart in.

Reports cover visit volume, authorization use, pharmacy billing, nurse performance, patient census and system integrity, exportable as CSV and PDF.

For the owner: one set of numbers, from the same records the nurses chart in.

Revenue and cost per patient and per pharmacy relationship, from documented visits and contract rates.

For the owner: see which relationships carry the agency.

Staffing with Paloma Talent

The agency’s own staff first, then the network.

From a chart, referral or visit, Paloma works out the staffing need from the current order, checks the agency’s own ready clinicians first and ranks them by readiness, skills and distance; with Paloma Talent the same need reaches prospects near the patient, without patient details leaving the chart.

For the owner: a referral in a town with no nurse is a search, not a decline.

Paloma Talent finds and vets clinicians and staff for any healthcare organization, with or without Paloma Clinical, keeping candidate evidence together through hiring.

For the owner: no hire, no fee on its own; no placement fee under Clinical + Talent.

Data, exports and security

Your records stay yours.

Every record belongs to one agency and is visible only to that agency’s authorized people, and this boundary is tested rather than assumed.

For the owner: an assurance you can put in a security questionnaire.

Pharmacies, physicians, patients, staff, authorizations and visit history are imported from spreadsheets, with a date in the file stored as that day.

For the owner: moving from a previous system with guided support, not a weekend of re-keying.

Pharmacy, physician, patient, staff, authorization and visit-history imports, with guided support from Paloma.

Document reading, email, the provider registry and Paloma Talent are built in; custom connections to a customer’s own systems are coming next.

For the owner: the connections an agency needs on day one are already there.

Buyer questions

Questions buyers ask about capabilities.

Is Paloma only for home infusion nursing agencies?

No. Paloma Clinical is healthcare operations software built first for home infusion nursing agencies, and used for home health, infusion suites, specialty pharmacy nursing, private duty nursing and VA Community Care. The infusion workflow is where Paloma is used most deeply today, and the same chart, documentation, review, readiness, scheduling and billing capabilities serve the other settings.

What do the availability labels on this page mean?

“Available” means agencies use it in Paloma today. “Coming next” marks the integrations Paloma is building now on the same record.

Does Paloma send claims electronically to payers?

Paloma builds pharmacy invoices and statements from reviewed visits, tracks their submission, and produces UB-04 worksheets for VA Community Care billing. Electronic payer claims, eligibility checks and remittance posting are coming next, built on the same reviewed-visit record.

Can a pharmacy see our nursing documentation?

Yes, through the pharmacy portal. A pharmacy’s own pharmacists and case managers read reviewed nursing notes, the orders awaiting the pharmacy and supply requests with their PDFs; billing contacts keep billing-specific access. Sending orders and messaging through the portal are coming next.

Where can I see these capabilities working?

The Product Tour shows the patient chart, Find Staff, the schedule, the clinician workfile and billing; the Mobile Product Tour shows the nurse’s phone. The demo agency at demo.palomacares.com is a working Paloma with synthetic data and needs no sign-up or card.
