Software for Concierge and Private-Pay Nursing Services

Client records, direct scheduling, nurse credentials, visit documentation and clinical oversight in one record. Paloma Clinical is the operating and clinical layer for nursing delivered outside institutional care.

The demo agency is a working Paloma with synthetic data. No sign-up.

In short

What Paloma is, and who it is for.

Paloma Clinical is operations software for nurse-delivered care outside institutional settings, including concierge and private-pay nursing. It keeps the client record, the schedule, each nurse’s credentials, the visit note and the Director of Nursing’s review in one place.

It is for agencies whose licensed nurses go to the client. That may be post-operative support at home, recurring nursing visits, wellness and mobile nursing visits, or nursing support for traveling or executive clients. One price per agency covers every Clinical capability, with no per-user charges.

One platform for care delivered beyond the hospital, configured for the way your organization delivers care. The same Paloma that runs home infusion nursing runs concierge nursing: the client record, the qualified nurse, the schedule, the visit, the documentation and the review are one operating record.

Paloma Cares is a broader healthcare operations platform, with Medicare-certified home health coming next and Paloma Talent providing workforce capabilities for eligible subscribers.

The problem

The service is personal. The office work is improvised.

The client list is a spreadsheet

Contact details, the care need and the visit history live in different files, and one person knows which is current.

Recurring visits rebuilt by hand

The same weekly visits are typed into a calendar again each month. An unassigned visit is noticed when the client calls.

A lapsed credential on a live client

A license or CPR card expires while the nurse is still on the schedule.

Every nurse documents differently

Notes arrive on paper or in a document, each in its own format, with signatures collected separately or not at all.

Review is a formality

Without a queue, clinical review happens when there is time, which means it does not happen.

An incident with no trail

A fall or a medication error is handled well in the moment and never written down in one place.

How agencies handle it today

A calendar, a shared drive and a group chat.

Concierge and private pay nursing practices often start on general tools: a calendar for visits, a shared drive for client files and nurse licenses, documents for notes, and a group chat to hold it together. The system depends on one coordinator who remembers what is missing.

That is harder to sustain when one client has visits every week from several nurses. Someone has to know who documented each visit, who reviewed it, and whose license is due next month.

Paloma keeps one chart per client and one file per nurse, and connects both to the schedule, so the question “is this visit covered by a nurse who is cleared to make it?” is answered before the visit.

What Paloma does

From client setup to the reviewed note, one record.

  1. Client record

Create the client directly, with no pharmacy and no referral document. Paloma calls it a patient record. Referral intake with AI document reading and spreadsheet import are there when you need them.

  2. Care need and any order

Keep coordination notes in the communications log on the client’s chart. When a prescriber orders the care, record that order: entered, uploaded or verbal. Orders can be held, discontinued and reconciled.

  3. Qualified nurse

Find nearby eligible staff. Assignment is blocked when the nurse’s license or CPR/BLS is missing or expired, a required competency is not passed, onboarding is incomplete, or the nurse is not cleared by the Director of Nursing.

  4. Schedule

Schedule the visit directly for the client: a single visit, a recurring visit every set number of days, weeks or months, or a multi-visit series. Unassigned and overdue visits are flagged.

  5. Visit

In the phone browser, the nurse sees today’s visits, clocks in and out, and opens a guided visit note that saves as the nurse works.

  6. Documentation

The note records vital signs in timed rows, the client’s response, any side effects and who was notified, supplies used and needed next, and two signatures: the client’s or their representative’s, and the nurse’s.

  7. Review and follow-up

Every submitted note goes to the Director of Nursing’s review queue. A note can be returned to the nurse for correction. A signed note is corrected by addendum, not edited.

Running the practice

The operations behind every visit.

One file per nurse

Licenses, certifications and competencies in one workforce file. Expiring credentials are tracked with reminders, and nurses can upload replacements from a phone.

The schedule, four ways

Week, month, day and list views of every visit, with unassigned and overdue visits flagged.

Incident reports

Falls, medication errors, adverse reactions, equipment failures, complaints and near misses, each with severity, status and resolution.

Reports

Census, visit volume, visit completion, schedule coverage, nurse performance, incidents and staff readiness.

Audit history

Each visit keeps a history of the changes made to it. Staff message each other inside Paloma, and coordination notes stay on the client’s chart.

Agreements and more nurses

Agreements, including a Business Associate Agreement, are signed before any patient information is added: Security → When your roster cannot cover a visit, Paloma Talent helps agencies find clinicians: Paloma Talent →

Who it is for

Built for nurse-led care that goes to the client.

Concierge nursing practices

Agencies whose licensed nurses go to the client: post-operative support at home, recurring nursing visits, wellness and mobile nursing visits, and nursing support for traveling or executive clients.

Private-pay nursing agencies

Teams that want the client record, the schedule, each nurse’s credentials, the visit note and Director of Nursing review in one record instead of five tools.

Agencies that do more than one kind of care

The same Paloma runs home infusion nursing and specialty pharmacy nursing, and Paloma Talent helps you find clinicians when your own roster cannot cover a visit.

Common questions

Concierge nursing software: what agencies ask.

What does concierge nursing software do?

It keeps client records, schedules nurses, tracks their credentials, records the care they give and supports clinical review. Paloma Clinical does those things in one record, with the nurse’s part in the phone browser.

Can I add a client and schedule recurring visits directly?

Yes. A client record can be created directly, with no pharmacy and no referral document, and visits can be scheduled for that client as single visits, recurring visits every set number of days, weeks or months, or a multi-visit series. Paloma calls the record a patient record.

What does the nurse record at a visit?

In the phone browser, the nurse clocks in and out and completes a guided note that saves as the nurse works: vital signs in timed rows, the client’s response, side effects and who was notified, supplies used and needed next, and the signatures of the client or representative and the nurse. Every submitted note goes to the Director of Nursing for review.

What does Paloma cost?

Paloma Clinical is one price per agency, with every Clinical capability included and no per-user charges. You can pay monthly or annually; annual saves two months. The current prices are in the table on this page and on the pricing page.
